1.   What are the different types of Passwords on Business On Line?

Passwords are an integral part of Business On Line security. They are a crucial layer of the protection against fraudsters gaining access to your Business On Line profile.

There are 3 types of passwords on Business On Line:

  1. Customer User Administrator (CUA) Passwords
  2. User Passwords
  3. Digital Cert Passwords

2.   What do the different passwords do?

1.   Customer User Administrator (CUA) Passwords

When set up with BOL you were given a CUA User ID and two passwords. When logged on, the Administrator can create users, payment limits and authorisation and more.

If you have two administrators the first half password one belongs to Administrator 1 and second half password to Administrator 2. If you have only one administrator then the first and second half passwords belong to the Administrator.

When logging on as the Administrator the Administrator(s) need to log on to the same PC with the CUA User ID. You then input the first half password click "Logon" and then you will be prompted for the second half password.

Each half password must be exactly 8 characters long and can be a mixture of alpha and numeric characters.

2.   User Passwords

The Administrator creates users on Business On Line with a User ID and a password. When logged on the User can do all the activities the Administrator has assigned to them on the accounts to which the Administrator has allowed them access, e.g. view account, create payments etc.

The User password is exactly 8 characters long can be a mixture of alpha and numeric characters.

3.   Digital Cert Passwords

For a user to sign off on payments they require a digital cert password. The digital cert password is created as the administrator(s) request the digital cert for the user.

The digital cert password can be 8-15 characters long and must contain at least one letter and one number.

3.   How do I unlock a password?

1.   Administration Passwords (CUA Passwords)

If you are locked out as the Administrator on Business On Line you need to call the Business On Line helpdesk. The operator can unlock the CUA passwords by talking to the Administrators if you know what the Passwords but have inputted them incorrectly. If not, new Passwords will have to be reissued. You can receive your new passwords in one of two ways:

(a) Receiving passwords by post

Contact the BOL Help Desk to request passwords. The CUA(s) must answer some security questions in order for passwords to be generated. It will take 6 -7 working days approx for both passwords to arrive by post.

(b) Completion of password replacement authority and indemnity

Bank of Ireland does not recommend customers obtaining their passwords over the phone, however we recognise that some customers may have an urgent business requirement for these. To enable this urgent provision of passwords, we require the customer to complete an Authority and Indemnity document for passwords replacement by phone.

This must be completed and signed by your board of directors.

NOTE: Final page of indemnity form is for branch use only, please ensure that this form is returned to your branch for authorisation and branding prior to sending it to BOL.
Contact your branch to confirm request has been forwarded to BOL.

2.   User Passwords

Your administrator(s) can unlock your user password if you have locked yourself out.

They need to log on as Administrator go to "Admin" then to "Create/Edit users" then select the user and click "Modify". The administrator will create a new password for you and once the change is saved and accepted in the audit log you will be able to log on with the new password.

3.   Digital Cert Passwords

If you have typed your Digital Cert Password incorrectly 3 times but know your password then your administrator can unlock it and allow you to try again.

They need to log on as administrator go to "Admin" then to "Create/Edit users" then select the user and click "Modify". The Administrator(s) will "un-tick" the Deactivate Digital Cert box. Save the change and accept it in the audit log. Then you will be able to use your digital cert password.

If however you have forgotten your Digital Cert Password then you will need to reorder a new one.

To order a Digital Cert Password you need to log on with your User ID and Password. Once into Business On Line you nee to go to "Admin" then to "Request Cert". You will need to fill out the required information and your administrator(s) will need to put in their passwords. A dialog box appears, containing fields for User ID (already populated), Password and Confirm Password.
This will be the password you will use to authorise payments on BOL. The password can have a minimum of 8 characters and a maximum of 15 characters but must include at least one number and one letter. Type in your password and confirm it. Click OK. A blank panel will appear on your screen. Below your panel a message is displayed asking you to click mouse and press keys anywhere on the blank panel above. Click the mouse at various places within the panel until the indicator reaches 50% complete. Press random keys on your keyboard until the percentage indicator (bottom right of screen) reaches 100% complete a dialog box appears, containing the message Certificate Request Successful. Click OK. On receipt of the certificate by Business On Line, a CUA will be contacted by BOL to confirm the request is authentic. The Certificate will not work until after this phone call. A Diary Message shortly after will confirm that the Digital Certificate is active.

4.   How often do the passwords expire?

1.   Administration Passwords (CUA Passwords)

The Administration Passwords frequency can be set to anything from 30 to 90 days. If you would like to check how frequently your passwords currently change, please email the helpdesk and they will get in touch.

2.   User Passwords

User Passwords are set to expire from 30 to 90 days.

To change the duration of your log on password between 30 and 90 days you need to log on as the Business On Line Administrator go to "Admin" then to "Create/Edit users" then select the user and click "Modify" and in the box beside "Change password after  days" you can insert anything from 30 - 90 days in the box. Once this change is made you will need to accept it in the CUA audit log (go to Admin then "CUA Audit Log" click "Apply Filter", highlight the change and click "Accept".

3.   Digital Cert Passwords

Digital Cert Passwords are set to expire from 30 to 90 days.

The Digital Cert which allows you to sign off on a payment can also be set to expire between every 30 to 90 days. To extend the change frequency of this password, log on as your everyday user, go to "Admin" then to "Change Password," and "Digital Cert Password".

5.   Password tips?

1.   How can I create a good password?

Passwords are an integral part of Business On Line security. They are a crucial layer of the protection against fraudsters gaining access to your Business On Line profile. Please take the time to read on and find out more about good passwords, it may give you some ideas on how to improve your existing passwords.

Your password should NEVER be the same or similar to your username or your real name. Nor should it be easily guessable by someone who does a bit of research on you. This means that you should not use your phone number, your car registration number, your spouse's (maiden or Christian) name, a pet's name or something easily identifiable with your favourite hobby.

The best passwords contain letters and digits. Acronyms are also very good, as long as they are something cryptic known only to you, N1CPGMPW ("No One [1] Could Possibly Guess My Password [PW])

LETMEINN or PASSWORD are two passwords that should be avoided, as they are too common.

Be careful of who sees you typing in your password. 'Shoulder Surfing' (looking over someone's shoulder as they are typing in their password) is one of the most common way of getting other people's passwords.

Passwords should be easy for you to remember and difficult for them to remember, so you should avoid basing passwords on any standard words e.g. names, months, days, telephone numbers, initials etc.

2.   Never write Passwords down

It is a major security risk to write down your passwords. Please avoid writing down passwords but if necessary keep them in a secure location, locked filing cabinet/safe.

3.   Individual ID's.

Please ensure that each Individual user has their own unique User Id and Password and are not sharing User Id and Passwords.

To set up a User please follow the steps below:

Note: The User ID must be 5 characters long. It cannot contain any spaces, symbols or punctuation
marks.

Note: The password must be exactly 8 characters in length. They cannot contain any spaces,
symbols or punctuation marks.

Note: Take note of full user id including 3 digit number.
